Betsi Cadwaladr University Health Board (BCUHB) is the largest health organisation in Wales, covering six counties in one of the most beautiful areas of the UK. It serves approximately 700,000 people, providing a full range of primary, community, mental health, and acute hospital services.

Results

We helped newly remote staff, unused to working from home and dealing with the personal impact of a changing world, to work seamlessly whilst accessing clinical applications quickly and securely. Our agile approach resulted in a successful deployment for BCUHB, allowing them to concentrate on supporting the NHS during a critical period.

3,000 staff working from home within one week

We deployed a robust remote access solution following the Prime Minister's pandemic lockdown announcement on a Friday night.

Cisco DUO multifactor authentication for up to 5,000 users

We delivered a secure solution that allowed administrative and healthcare staff to access clinical applications quickly and securely from home.

From briefing to order confirmation in one week

Our agile approach compressed a process that usually takes several weeks into just seven days.

Challenge

Late on a Friday night in March 2020, after the Prime Minister's announcement about the first pandemic lockdown, the Head of ICT at BCUHB confirmed that he needed to get nearly 3,000 staff to work from home the following week.

The health board's existing VPN solution wasn't fit for purpose and early indications showed that performance was already degraded with multiple calls into its service desk. Providing healthcare is a true team endeavour, and the ability of administrative and other staff to work from home effectively was crucial to being able to cope with the accelerating pandemic

Plan

We worked closely with the BCUHB team to find an appropriate solution that could be installed very rapidly. BCUHB was open about the COVID budget they could utilise, which allowed us to work as part of the team to build the most robust solution possible with minimum delay. Our strategy focused on delivering multifactor authentication for up to 5,000 users whilst ensuring governance requirements were met through a fast bid process.

Approach

Our team was onsite almost immediately to begin configuration. We discovered that the National Remote Access Network through NHS Wales Information Services was struggling to process the number of remote connections to National Applications.

Outcome

Within a week, we deployed Cisco DUO and, working in partnership with both the Cisco and DUO Teams, delivered a robust multifactor authentication solution for up to 5,000 users.

Going through the process of recommendation, negotiation, confirmation, and order would usually take several weeks. As a result of our agile approach and great communication, we compressed this timeline to just one week from initial briefing to order confirmation, with deployment completed within another week.

A quick note of thanks regarding the promptness of sorting out the Cisco Duo installation for us. Mark was a pleasure to work with (at distance) last week – he is highly knowledgeable, and his approach was very professional, giving us a high degree of confidence that the solution was being set up in the most appropriate way for us here at BCUHB.
