Challenge

Girlguiding needed to improve the quality of its IT-managed service as its contract was nearing its end. The organisation faced challenges in maintaining service quality and ensuring the IT infrastructure could support its diverse and extensive activities, ranging from administrative tasks to supporting large-scale events.

Plan

The boxxe Group conducted a comprehensive tendering process, selecting a fully outsourced managed service that included hosting and managing systems in their data centres with Microsoft services in Azure. This plan was designed to provide a scalable and secure IT environment tailored to Girlguiding’s needs.

Approach

The team provided a dedicated service desk and IT support, with on-site engineers at Girlguiding’s main sites in London and Manchester. They implemented new systems for users to report problems via an online portal, phone, or in person, ensuring all issues were logged and addressed promptly. Regular training sessions were also conducted to ensure that Girlguiding staff could effectively utilise the new systems.

Outcome

The new IT systems allowed Girlguiding to maintain high service standards and adapt to their unique way of working. Regular management meetings ensured continuous performance tracking and improvement. The implementation of a hybrid cloud solution provided Girlguiding with the flexibility to scale their IT resources according to demand, while maintaining robust security measures to protect sensitive data.

We chose boxxe for two reasons. Firstly, the quality of its offer – we evaluated bidders using a scorecard, and boxxe came out best, helped by the fact that it had very clear processes in place.

Secondly, boxxe came in at a price lower than its competitors, and significantly less than the provider that ranked second for quality of the offer.

boxxe joined at a pivotal time, as we were just developing our 2020 strategy, and we needed a partner to help support that and underpin the strategic work. They've helped us with a number of transformative projects, which have all gone smoothly, including migrating over 400 mailboxes to Microsoft 365 and Exchange Online, and implementing a new cloud-based Mitel phone system.
