Challenge

ETL was running Exchange through an on-premise server, which had two key issues; firstly, the server’s operating system was due to reach end of life support, meaning Microsoft would stop providing new features, bug fixes and security to ensure its security and efficiency. Secondly, this infrastructure made staff collaboration tricky – ETL Systems acquired Atlantic Microwave Limited in 2019, which was using a cloud-based Office 365.

Having one office use cloud infrastructure for their emails, and another use an on-premise server made crucial collaboration activities like calendar-sharing impossible. It also meant that the two offices couldn't share access to applications like Microsoft Teams and Microsoft Planner to collaborate and communicate more efficiently.

Plan

ETL needed a solution that matched their needs, timescales and budget perfectly. That’s why we proposed they migrate to a hybrid cloud infrastructure, allowing their different offices to collaborate, without any loss of functionality.

Approach

We made sure that every senior stakeholder in the business understood the solution and how it would be deployed, step by step. This allowed them to create an end-user scheduling framework and communications plan for their workforce, giving them time to prepare. By doing this, ETL systems ensured that their internal IT team wouldn't be overwhelmed by staff support requests once the project started.

Our boxxe team completed the Exchange Hybrid migration and installed an Exchange 2016 server for user management. A further tenancy to tenant migration was performed to merge the Atlantic Microwave Office 365 workloads with ETL System's Microsoft 365 tenancy. We completed this work out-of-office hours to minimise disruption.

Outcome

With the project successfully done in just 14 days, we left ETL in the capable hands of a boxxe consultant, who was available to deal with any technical mailbox migration issues as needed, whilst completing a thorough post-migration validation. This included any enhanced configuration and remediation activities that ETL systems required to support their Microsoft 365 deployment strategy.
